How much does an RTLS system cost? (2026 cost guide)

There is no single RTLS price — cost is driven by accuracy, area and asset count. Here are the ranges that survive a board pack, the line items quotes usually hide, and how they feed a five-year TCO.

What drives the cost

  • Infrastructure: anchors/locators/readers and their density (the biggest swing — driven by accuracy)
  • Tags: from cents (passive RFID) to tens of euros (UWB/active), times your asset count

Typical ranges

A focused pilot is usually tens of thousands of euros. A single-site production deployment commonly runs from the low six figures, depending on area, accuracy and asset count. Passive RFID at choke-points is far cheaper than sub-metre UWB across a whole plant. Five-year locating TCO: infrastructure, tags, people and integration

Headline hardware quotes understate locating cost. A usable five-year TCO includes anchors/locators/portals, tags and batteries, PoE and cabling, install labour, calibration, software subscriptions, integration build and run, spares, and the operations time to act on the data. Programmes that only compare anchor unit prices routinely underfund the items that decide whether the locating KPI moves.

Order-of-magnitude patterns. Site-wide UWB is typically the premium continuous option; BLE AoA covers large floorplates at lower density cost; Passive RFID portals are usually cheapest when gate events suffice. Hybrid estates — BLE broad coverage plus UWB hotspots plus RFID docks — often beat all-UWB on TCO while still supporting safety and process use cases where centimetres matter.

Hidden lines that break business cases. Ceiling install in live hospitals and food plants; network redesign for OT segmentation; battery replacement logistics at scale; licence steps when tag counts grow; re-commissioning after layout changes; and training so operators stop using shadow spreadsheets. Cost the change-management line explicitly.

How to avoid overspending without under-building. Pin accuracy to a task; pilot under production load before estate standards; challenge density buffers; reuse existing AP grids only after a locating survey proves them; and phase rollout by KPI payback, not by “cover every square metre in year one.”

Phasing and contingency so locating budgets survive contact with the floor

Fund discovery, survey and PoV as distinct stages with kill-switches. Carry contingency for structural mounts, network uplift and layout changes discovered mid-install. Prefer rental or supplier-financed kit through PoV so a no-go does not capitalise the wrong stack. When comparing bids, normalise to five-year cash and to the same accuracy/KPI definition — otherwise the cheapest year-one quote wins and the programme loses.
