How much does an RTLS system cost?

There is no single price — RTLS cost is driven by accuracy, area and asset count. But the structure is predictable, and most overspend comes from buying more precision than the use case needs.

What drives the cost

  • Infrastructure: anchors/locators/readers and their density (the biggest swing — driven by accuracy)
  • Tags: from cents (passive RFID) to tens of euros (UWB/active), times your asset count
  • Software & licences: platform, analytics and per-tag or per-site fees
  • Integration: connecting to WMS, ERP, EMR or MES — often underestimated
  • Install & survey: cabling, PoE, mounting, RF site survey
  • Run cost: support, maintenance, battery replacement

Typical ranges

A focused pilot is usually tens of thousands of euros. A single-site production deployment commonly runs from the low six figures, depending on area, accuracy and asset count. Passive RFID at choke-points is far cheaper than sub-metre UWB across a whole plant. We publish indicative advisory fees separately on our How we work & fees page — hardware and licences are extra and we never mark them up.

How to read these tables. The figures below are indicative, vendor-neutral reference ranges (EUR, 2026) to help you frame a budget — not quotes. Real numbers depend on your environment, accuracy target, asset count, integration scope and commercial terms. We model exact costs per engagement, and we never resell hardware.

1 · Hardware unit costs by technology

Technology Tag / device Anchor / reader / gateway Typical accuracy
Passive RAIN RFIDLabels €0.05–0.50 · hard tags €1–8Fixed reader €800–2,500 · antenna €80–200Presence at read point
BLE (beacon / AoA)€5–30Locator/gateway €150–4001–5 m (AoA), zone (beacon)
UWB€15–60Anchor €120–350 (+ install)10–30 cm
GPS / GNSSTracker €30–150None (satellite) · cellular data plan2–10 m outdoors
LoRaWANSensor €20–80Gateway €150–800Zone / long-range

2 · Infrastructure density & cost per m²

Accuracy target Typical technology Infra density Indicative infra €/m²*
Presence / choke-pointPassive RFIDReaders at doors/gates only€1–4
Room / 2–5 mBLE-AoA~1 locator per 100–250 m²€4–12
Sub-metre / 10–30 cmUWB~30–60 anchors per 5,000 m²€15–40

*Infrastructure hardware + install only (anchors/readers, cabling, PoE, mounting, RF survey). Excludes tags, software licences and integration. Dense, obstructed or high-ceiling environments push the upper end.

3 · Whole-deployment budget tiers

Scope What it covers Indicative total
Pilot / PoCOne zone or line, often rented kit, measurable go/no-go€15k–60k
Single-site productionFull facility, integration, adoption, support€80k–400k+
Multi-site rolloutMultiple facilities/regions, central platform, governance€500k – low eight figures

4 · Total cost of ownership (one-off vs recurring)

Cost component Type Notes
Infrastructure & tagsOne-off (capex)Biggest swing — driven by accuracy & area
Install & RF surveyOne-off~€1,000–1,500 per anchor/reader (cabling, PoE, mounting)
IntegrationOne-offWMS/ERP/EMR/MES — most-underestimated line
Software / licencesRecurring (opex)Platform + per-tag or per-site fees
Support & maintenanceRecurringTypically 15–20% of hardware/yr
Battery / tag replacementRecurringActive/UWB tag batteries 3–7 yrs; plan replenishment

A useful rule of thumb: on many production RTLS programmes, hardware is only 30–50% of the first-year cost — install, integration and software make up the rest, and recurring opex continues after go-live. Model the whole picture, not just the tag price. Our ROI calculator turns these inputs into payback and three-year NPV.

How to avoid overspending

Define the minimum accuracy a real workflow needs, choose the lightest technology that meets it, and pilot before you scale. The model on our ROI calculator turns these inputs into payback and three-year NPV.

Frequently asked questions

How much does RTLS cost per square metre?

It varies hugely with accuracy: sparse BLE/zone coverage is a fraction of dense UWB. We size it from your area, accuracy target and asset count.

Are tags expensive?

Passive RFID tags are cents; UWB/active tags are tens of euros. Multiply by asset count — and factor battery life and replacement.

What's the biggest hidden cost?

Integration and install (cabling, survey), and ongoing battery/maintenance. We include these in any honest model.

Can you give a fixed price?

After a short scoping call, yes — a fixed-fee discovery and an indicative system budget you can take to your board.
