Linking RTLS staff badges to nurse call can register a nurse in a patient room automatically, send a call to the nearest free colleague and show exactly where a duress alarm came from. Wired in the wrong way, it can also interfere with a safety-critical system.

We help you decide what to connect, choose the location technology that places a badge in the right room, and agree the integration with your nurse call supplier before anything is bought. Advice first. We also supply, lease and integrate if you choose.

What the integration is for.

Automatic staff presence. When a nurse wearing a badge enters a patient room, the nurse call system can mark the room as attended without anyone pressing the presence button. This only works if the location system knows the room, not just the corridor.

Calls to the nearest free nurse. Calls and escalations can go to the handset of the closest available colleague instead of a fixed list.

Staff duress and assistance. A button on the badge raises an alarm that shows the room or zone, so help goes to the right place.

Response records. Response times and time at the bedside can be measured from events and used in staffing reviews. Agree with staff representatives how this data may be used before go-live.

Room-level certainty is the hard part.

Presence and duress alarms need to place a badge in the right room every time, including across thin walls, glass and doorways. Radio on its own (BLE or Wi-Fi) usually locates a badge to a zone or a floor, which is not enough to tell room 12 from room 13. Hospitals that need room-level certainty typically add infrared or ultrasound room units, or use BLE angle-of-arrival with careful room design.

We test this in the survey and the pilot in the rooms that cause trouble: shared walls, en-suites, glass partitions and the corridor outside the door. The acceptance figure is the share of room entries and exits placed in the correct room, not a headline accuracy number.

The nurse call system stays in charge.

Nurse call is a safety-related system with its own standards and approvals, for example VDE 0834 in Germany and the HTM 08-03 guidance in the UK. RTLS should feed it through the interface the nurse call supplier supports and has tested, and must not change how calls are raised or cancelled at the bedside.

In practice that means agreeing early with the nurse call supplier which events their system accepts (badge entered the room, badge left the room, duress), how presence is shown, and what happens when the location feed is late or missing. A call must never be lost or cleared because a location message failed.

Three ways to connect the systems.

Direct interface. The nurse call system accepts presence and duress events from an RTLS it supports. This is the simplest route when your RTLS and nurse call suppliers already work together.

Alarm and messaging layer. A middleware layer receives calls from nurse call and locations from the RTLS, then routes alerts to staff handsets. Useful when several systems need to reach the same staff.

Location shown alongside, not wired in. Nurse call stays exactly as it is and the RTLS shows staff locations to the nurse in charge. Lower risk, and often a sensible first step.

Which of these is open to you depends on the nurse call product and version you have. We check this with the suppliers before the specification is written.

Privacy and staff trust.

Staff badges locate people, not equipment. Data protection law applies, and in many hospitals staff representatives or a works council must agree the use first. We help you set out a clear purpose, how long data is kept and who can see named location history, and we keep equipment tracking and staff tracking apart where that is wiser. See GDPR and RTLS.

How we work on it.

It starts with a free 30-minute call about your wards, your nurse call system and what you want to change. Then we write down the use cases, check what your nurse call supplier supports, survey the difficult rooms and design a pilot on one ward with clear acceptance criteria. After the call you get a written proposal with the price.

Supply is optional and on a separate contract from our advice. You can also buy direct from the supplier. If you also want to find equipment faster, see medical equipment locating and patient flow.

Frequently asked questions

Can RTLS cancel a nurse call automatically?

It can register presence, and some nurse call systems use that to reset the call or the presence light. Whether that is allowed, and under which conditions, is a decision for your clinical team and the nurse call supplier, within the system's approval. We do not recommend designs where a missing or wrong location can quietly clear a call.

Do we need to replace our nurse call system?

Usually not. Most projects connect to the existing system through an interface it already supports, or through a messaging layer. If your current version has no suitable interface, we set out the options and their costs so you can decide.

Which location technology works for nurse presence?

Whatever places a badge in the right room reliably in your building. That often means infrared or ultrasound room units, sometimes BLE angle-of-arrival with careful design. We test it in your own rooms before you commit.

Can the same RTLS also find equipment?

Often yes, and sharing the infrastructure can lower the cost. Keep the staff and equipment use cases, data and access rights separate.
